Documents & Files

Students and teachers can manage photos, documents and other files directly in the virtual class, which has several advantages:
You can access your files anytime, anywhere, all you need is access to a computer / laptop, tablet or smartphone.
Since all files are stored in the cloud, you no longer have to worry about which device you want to save something on, and you can no longer lose any text.
You can easily switch between different computers or devices when working on your files.
As soon as a student uploads a file to a student computer or at home, the teacher can immediately open or download this file on their own computer.
You can upload multiple documents at the same time, whereby photos and images can be automatically reduced and compressed.
You can edit some file types directly online, no matter which device you use:
Texts can be edited directly.
You can rotate or flip photos and images online, and you can even draw on them online.
Some formats can be converted directly online (eg video formats to MP4, or PDF to JPG).
There are separate areas for files that should be public or protected.
All students and teachers in the virtual class have their own folder for personal documents. Teachers have access to all documents in the student folders at all times.
You can find files very quickly by searching the file name.

Working with the file manager

File management makes it very easy to upload files to your virtual class.
The biggest danger, however, is that after a short time a relatively big chaos will arise in your documents, especially if several people are to manage files together.
For this reason, you should familiarize yourself with the structure of file management, and especially teachers should think about the structure of all folders and documents.
Be sure to save your files in the correct area (documents, class, public or shared).
Create separate directories for your documents and give these directories meaningful names.
If several people are to manage an area, then you should also agree on a coherent structure.
As a teacher, you should create favorites for frequently used folders on the start page of the file management (see below).

file structure

There are four main areas for documents in your virtual class:
Documents: Here teachers can save documents, while students can only read or download. So this is the ideal place to make files available to students.
Pupils & teachers: Here are the personal folders of all members of the class. Students can also upload documents here.
Website / Public: Here are all files that should be publicly accessible, e.g. Photos and documents to be published on your class or school website.
Shared: There are files to be shared between members of the platform.
In the "Documents" folder there is also a protected order in which only teachers can read:
Documents: Teachers and students can read.
Teachers: Only teachers can read, here you can e.g. Save documents to which all teachers in a team should have access.
Within the "Pupils & Teachers" folder there are directories for all members of the virtual class.
  • You will always find your own orders at the top, but all other teachers and students will also be listed, as this way you can read public documents of other members, or even send documents to other members.
Your own order looks like this:
Name: Your personal folder always bears your name or user name.
Documents: Here you can save your personal documents that only you can read. If you are a student, your teacher can read these documents as well, but other students cannot.
Mailbox: Here other members of the virtual class can deposit documents.
Public: Here you can save documents that should be public and thus e.g. can also be displayed on the class or school website.
Shared: Here you can save documents that all other members of the virtual class can read.
If you want to send a document to another member of your virtual class, go to that member's folder, then click on the member's mailbox and upload the file right there.

Quick access via tabs

The tabs at the top of the page give you quick access to the most important file management folders:
Overview: The start page of the file manager.
Documents: The area where students can only read.
Teacher *: The protected area for all teachers.
Name: Your personal area with your own documents.
Class: The personal folders of all teachers and students.
Public: All documents that should be visible to all visitors.
Website **: Odner "Website" within the public folder.
Blog **: Odner "Blog" within the public folder.
*) Only displayed for teachers.
**) Are only displayed if they exist.

Even faster with favorites

If the same folders are used again and again in your class, then as a teacher you can display these folders directly as favorites on the start page of the file management.
Go to the home page of the file manager, click on "Favorites" in the top right and then on "add". Now you can add an existing order as a favorite.
If your virtual class is a member of a virtual school, the administrators of this virtual class can also create favorites for all virtual classes, so that an identical structure is created in all virtual classes of the school. In this case, missing folders can even be generated automatically. As a school admin you will find the corresponding options under "School"> "Documents"> "Global favorites".

Create or upload files

With the file manager you can easily create new files or orders, provided that you have write access to the current area.
No files or folders can be added to the start page of the file management, here you can only add favorites as a teacher.
To add files or folders, just click the "new" button. You have several options here:
Add new folder (new subdirectory)
Create new file (write and save text or HTML)
New picture (you can also draw and save pictures directly online)
To upload files, just click the "Upload" button. You can upload different file types (photos, texts, films, PDF documents, ...) from your computer, tablet or smartphone:
You can upload multiple files together, even if they are different file types.
Images and photos are automatically reduced and compressed when uploaded, so you don't have to optimize your images in advance.
If you don't want your photos to be reduced when you upload them, you can choose the "HD" option.
Thumbnails and thumbnails of your pictures and photos are automatically created when uploading, so that they can be displayed faster in preview mode.
Photos in HEIC format (iPhone) are automatically converted into JPEG images.
You can upload videos in all common formats, these can be automatically converted into MP4 videos by the platform, even if this may take some time.
To link videos or audio files that e.g. on YouTube or Vimeo, just click on the "link / embed" button.
You can then simply enter the URL of the corresponding file.
The file is linked without being actually copied into your virtual class.

edit files

You can edit some file types directly online, for example:
You can change text or HTML files directly online.
You can rotate or flip pictures, and you can even draw pictures or photos directly online, e.g. Mark areas, blacken faces, or write short texts on them. It is even possible to make memes directly from your photos online.
You can convert some file types directly to another type online (e.g. make a JPG image from your PDF document).
You can have videos of different formats converted online to MP4 format, so that your films will run in any modern web browser.
You can edit each file individually, but with some operations it is also possible to edit several files at the same time (so-called "batch processing").
To edit a single file, you can simply click on the file, in the bar on the right you will find all editing options.
To edit several files at the same time, choose the edit option (rename, rotate / mirror, convert, ...) directly at the top of the directory view. Then you can select the files to be edited and then start the process for all files together.

delete files

There are several ways to delete files:
Move the mouse arrow in the directory view over the file to be deleted. A delete symbol appears in the lower left, which you can click on.
Click on the file, then click on the "delete" button in the bar on the right.
Click on the "delete" symbol in the directory view to delete several files at the same time. You can then select the files to be deleted and then start deleting all files at the same time.

Public files for my class or school website

Files that should be publicly visible on your class or school website must be saved in the "public" area in your file manager.
If your website is password protected and your files are saved in the "Public" area, website visitors can still open the files and search engines can still index your files!
Files that you upload with the "Blog & Website" web app are automatically saved in the "Public" area of ​​your file manager, unless you have explicitly configured it differently.
